Mailing/Distribution
Truedata can assist in the planning, preparation and execution of mailshots to your contact list. We can quickly create complex extraction criteria to ensure that mailings are appropriately targeted to ensure that costs are carefully matched against benefits. For example we can target only members who make regular donations or we can avoid sending multiple mailing items to a single household.Additionally we can support variable packing instructions for each mail item to allow insertion of additional items for a subset of the mailing or to provide multiple copies of materials for some addresses. Facilities such as these can allow cost savings by :
- List sharing with other organisations/parts of your organisation
- Supporting concepts such as "one mailing per household"
- Allowing for an area or church-based coordinator who will distribute individual items by hand.
Mailsort
For organisation making mailings of significant size (i.e. several thousand items) savings of up to 30% are possible by using one of Royal Mail's Mailsort options. Our software can correctly code addresses ready for Mailsort and prepare labels, packing lists and Royal Mail required documentation to allow the preparation of the pre-sorted mail bags required to receive the postal discounts. The software will also identify addresses not suitable for inclusion in a Mailsort mailing and produces labels and lists to allow these to be packed and despatched separately while allowing your organisation to treat it as a single, unified mailing.
Items suitable for Mailsort range from standard letters to packages. Truedata can process mailings where all the items are identical or where there is a wide range of sizes and weights to be mailed. A range of delivery options can be selected ranging from "next day" to "seven days" with the latter being usually most cost effective for charitable organisations.
